- Provisional Bookings
- Bookings more than 60 days prior to arrival will be held for 7 days from confirmation.
- Bookings less than 60 days prior to arrival will be held for 48 hours from confirmation.
- Bookings confirmed within 48 hours of arrival require immediate full payment.
- If payment is not received within the stated period, the provisional booking will automatically be cancelled.
- Confirmation of Booking
Upon confirmation, the following information is required for each guest:
- Full name and surname (as per passport)
- Date of birth
- Nationality
- Arrival and departure details
- Room configuration (Double/Twin)
- Special dietary requirements or allergies
- Inclusions & Exclusions
Inclusions:
- Accommodation in a twin/double en-suite superior room with patio
- Full breakfast, light lunch, and 3-course dinner
- Drinks included: water, soft drinks, local beers, house wine served by the glass
- Tea, coffee, fruit juice, and water served with breakfast
- Early morning game drive/safari including hot drinks
- Afternoon game drive/safari including one sundowner drink and snacks
- Experienced guide and tracker
- Undercover parking at the Lodge gate (if arriving in own vehicle)
- Complimentary transfers to/from Hoedspruit Airport, subject to availability
Exclusions:
- Premium brand alcoholic beverages not mentioned above
- Tips/gratuities (recommended R500 per person per night)
- Personal items
- Conservation fee: R300 per person per night
- Gate entry fee (once-off): R200 per person
- Mandatory Levies and Fees
- Conservation fee: R300 per guest per night

- Arrival and Departure
- Check-in: 14:00
- Check-out: 11:00
- Child Policy
- Children under 12 years are not accepted unless the lodge is booked for Exclusive Use.
- Single Supplement
- 50% supplement applies to guests occupying their own room.
- Payment Policy
More than 60 days prior to arrival:
- 20% non-refundable, non-transferable deposit within 7 days of booking
- Balance due 60 days prior to arrival
Less than 60 days prior to arrival:
- Full payment must be made within 48 hours of booking confirmation
- Bookings made 48 hours prior to arrival require immediate full payment
Peak Period Policy:
- 50% non-refundable, non-transferable deposit within 48 hours of booking
- Balance due 60 days prior to arrival
- Minimum stay of 3 nights

- Cancellation Policy
- More than 60 days prior to arrival: Loss of deposit (20%) outside Peak Season
- More than 60 days prior to arrival: Loss of deposit (50%) within Peak Season
- 45–59 days prior to arrival: 50% of total accommodation value
- Less than 45 days prior to arrival: 100% of total accommodation value
- No Shows: 100% of total accommodation value
- Force Majeure:
In the event of Force Majeure, the Lodge will apply Clause 20 (Force Majeure / Supervening Impossibility of Performance) instead of the standard cancellation fees.
- Refunds
- Refunds may be held as future credit or returned to the client with a 3% administration fee
- Refunds due to Force Majeure events are at the Lodge’s discretion
- Indemnity Forms
- All guests must complete the indemnity form upon arrival
- Guests cannot check-in without completed documentation
- Maintenance
- The Lodge reserves the right to carry out maintenance or repairs at any time
- No compensation, refund, or payment will be provided
- The Lodge is not responsible for construction or maintenance beyond its control
- Malaria
- The Lodge is in a malaria area
- Guests are responsible for taking preventative measures and should consult their physician for appropriate prophylaxis.
- Passports, Visas, Vaccinations, Inoculations, Re-entry Permits
- Guests are responsible for ensuring all travel documents and health requirements are valid
- Children under 18 must comply with SA Immigration Regulations
- The Lodge is not liable for consequences arising from non-compliance
- Protection of Personal Information Act (POPIA)
- Personal information is used solely to enhance guest experience
- Information will not be shared with third parties without consent
- Miscellaneous / Liability
- The Lodge is not responsible for damages, loss, injury, illness, death, delays, cancellations, or itinerary changes not caused by the Lodge
- Guests are liable for damage or extra costs incurred during their stay
- Existing damage must be reported upon arrival
- Guests must leave the premises in good condition and may be charged for excessive cleaning
- Travel Insurance
- It is highly recommended for guests to obtain comprehensive travel insurance covering:
- Loss of personal effects
- Personal injury and medical emergencies
- Emergency travel arrangements, cancellations, or curtailed plans
- Force Majeure events and circumstances beyond the Lodge’s control
- Guests are responsible for adequate insurance and notifying the Lodge of relevant claims
- The Lodge is not liable for loss, damage, or expenses due to insufficient insurance
- Force Majeure / Supervening Impossibility of Performance
- The Lodge is not liable for delays, non-performance, or failures caused by circumstances beyond its control, including:
- Natural disasters, storms, floods, fire, explosions, acts of God
- Epidemics, pandemics, strikes, lockouts, labor disturbances
- Travel restrictions, government measures, war, terrorism, civil unrest
- Breakdown of transportation, machinery, or third-party services
- Guests affected are encouraged to claim through travel insurance
- The Lodge may:
- Reschedule stays
- Transfer unused nights
- Offer future credit at management discretion
- Refunds due to Force Majeure are at the Lodge’s discretion
- Lodge obligations may be suspended for the event duration, up to a maximum of 12 months.
- Affected guests must notify the Lodge immediately and provide proof if requested
- Dispute Resolution
- The parties shall meet within 10 days to negotiate in good faith
- If unresolved, disputes shall go to mediation by an independent expert or agreed legal practitioner
- If mediation fails within 10 days, disputes shall be referred to arbitration under AFSA rules, hearings in Pretoria
- Urgent relief may be sought from a competent court
- Disputes must not be publicised; unauthorised publicity may result in financial claims
