Terms & Conditions

1. Provisional bookings

Provisional bookings more than 60 days prior to arrival, will be held for 7 days from confirmation.

Provisional bookings less than 60 days prior to arrival will be held for 48 hours from confirmation.

If the booking is confirmed 48 hours prior to arrival, then full payment is required immediately.

If payment is not received timeously, the provisional booking will automatically be cancelled.

2. Confirmation of booking

Upon confirmation of the booking the below information will be required for each guest:

Full name and surname (as per passport)

Date of birth

Nationality

Arrival and departure information

Room configuration (Double/Twin)

Special dietary requirements/allergies

3. Inclusions & Exclusions

The rates provided by Leopard’s Bend Bush Lodge shall include or exclude (unless otherwise stated) the following:

Inclusions:

  • Accommodation in a twin/double en-suite chalet with patio.
  • Brunch and dinner daily.
  • Complimentary tea, coffee, fruit juice and water served with breakfast.
  • High tea served before the afternoon game drive.
  • Early morning game drive/safari including hot drinks.
  • Afternoon game drive/safari including one sundowner drink and snacks.
  • Experienced and knowledgeable guide and tracker.
  • Complimentary transfers to / from Hoedspruit Airport, subject to availability and must be booked with the Reservations Team prior to quoting. The transfers are subject to the availability of seats as well as the timing availability on the already scheduled transfers for the required dates. Available for FIT bookings only.

Exclusions:

· Drinks not mentioned above.

· Tips & gratuities (recommended R500.00 per person per day)

· All items of a personal nature

· conservation levies

· gate entry fees

· parking fees.

4. Mandatory Levies and fees

Conservation fee of R270.00 per guest / per night

Gate entry fee of R200.00 per guest (once off)

Parking (if arriving in your own vehicle) of R200.00 per vehicle / per night.

5. Arrival and departure

Check-in at 14H00. Check out of rooms at 11h00

6. Child policy

The Leopard’s Bend Bush Lodge does not accept children under the age 12 years.

7. Single supplement

A 50% single supplement will apply to guests occupying their own room.

8. Payment policy

More than 60 days prior to arrival

Within 7 days of making the booking: A 20% non-refundable / non-transferable deposit is required.

60 Days prior to arrival: Balance of payment is due.

Less than 60 days prior to arrival

Full payment is required within 48 hours of booking confirmation.

If the booking is confirmed 48 hours prior to arrival, then full payment is required immediately.

Peak period policy

The peak period is 16 December to 05 January, and specific terms and conditions apply to bookings travelling over this time.

Within 48 hours of making the booking: A 50% non-refundable/non-transferable deposit is required.

60 Days prior to arrival: Balance of payment is due.

Minimum stay: A Minimum stay of 3 nights is required.

9. Method of payment for your reservation

All payments should be made in full and free of any bank charges. To assist us with identifying the payment for your reservation, please include your reservation number as the payment reference.

Should payment for a reservation not be timeously received, the booking will be cancelled, and accommodation released.

CREDIT CARD PAYMENTS

We accept VISA, Mastercard, Diners and American Express credit cards. This is processed via our Payment Portal.

10. Method of payment at the Lodge

The Leopard’s Bend Bush Lodge is a cashless environment with guests having the option to settle their bill using one of the following credit cards: VISA, MasterCard, Diners and American Express.

11. Cancellation policy

Cancellations must be received and acknowledged in writing by the Leopard’s Bend Bush Lodge.

Cancellation fees will apply to the full value of the booking and are applicable to any amendments made to the booking which will affect the total value of the booking i.e. reduction in the number of rooms or the number of guests, date changes etc.

The below cancellation fees will apply

More than 60 days prior to arrival: Loss of deposit (20%) out of Peak Season

More than 60 days prior to arrival: Loss of deposit (50%) within Peak Season

45 – 59 days prior to arrival: 50% of the total value of the accommodation confirmed.

Less than 45 days prior to arrival: 100% of the total value of the accommodation confirmed.

No Shows: 100% of the total value of the accommodation confirmed.

12. Refunds

Any refund due by Leopard’s Bend Bush Lodge to the client may, at the discretion of the client, either be held as a future credit by Leopard’s Bend Bush Lodge in the name of the client at full value for use against any future booking or returned to the client subject to a 3% administration fee on the full booking value.

Credit and refund values are strictly in the contracted service currency and are not subject to any

exchange rate consideration thereon.

13. Indemnity Forms

All Guests are required to sign and complete the Leopard’s Bend Bush Lodge indemnity form upon arrival. Guests will not be allowed to check-in without the necessary documentation being complete.

14. Maintenance

It may from time to time be necessary to carry out repairs, maintenance, or similar work on or in the premises at our property, and we hereby reserve the right to carry out such work at any time without any compensation, refund, or similar payment to the Guest. Leopard’s Bend Bush Lodge will in any event be mindful of our Guests’ comfort and will seek to avoid disturbances to our Guests, as much as possible.

Leopard’s Bend Bush Lodge cannot accept any responsibility for construction, maintenance, or repair work by neighboring or other properties, or for road works or utilities beyond our control (“the repair works”). No compensation, restitution or other payments shall be payable to Guests in respect of such the repair works.

15. Travel insurance

It is highly recommended that all Guests ensure that they have comprehensive travel insurance to cover themselves, their traveling companions, and dependents in the event of, but not limited to, the following eventualities: cancellation or curtailment of the booking, emergency evacuation expenses, medical expenses, hometown repatriation expenses, damage and/or theft / and/or loss of personal property, baggage, money, and goods.

Leopard’s Bend Bush Lodge, their representatives, directors, officers, employees, and agents will

not be responsible for any damage, loss, costs or expenses incurred or suffered by the guest, or guest’s dependents or travelling companions, as a result of or in connection with any of the abovementioned events. Guests will be charged directly by the relevant service providers for any emergency services they may require and may find themselves in a position unable to access such services should they not be carrying the relevant insurance.

16. Malaria

The Leopard’s Bend Bush Lodge is situated in a malaria area, and it is the Guest’s responsibility to take the necessary precautions in this regard.

Please contact your doctor or travel clinic when planning your trip to obtain the correct information with regards to preventative measures and prophylaxis.

17. Passports, visas, vaccinations, inoculations, re-entry permits

It is the Guests responsibility to obtain correct, current, and valid passports and passport requirements, visas, vaccinations, inoculations and re-entry permits where required.

Guests travelling with children under 18 years old must be familiar with the new SA Immigration Regulations effective 1 June 2015. Leopard’s Bend Bush Lodge will not be held responsible or liable for any consequence of any nature arising from Guests failing to ensure that he/she has complied with all such requirements.

It is therefore recommended that Guests check with their Foreign Offices, Consular section and travel agent for current visa requirements, health, travel and safety advisories.

18. Protection of Personal Information Act (POPIA)

Leopard’s Bend Bush Lodge is fully compliant to the Protection of Personal Information Act (POPIA) as required by South African law. Any personal information you send to Leopard’s Bend Bush Lodge will only be used for the purpose intended and to enhance your Guests Experience at our lodge. We

will not disclose your personal information to any party which is not part of Leopard’s Bend Bush Lodge without consent.

19. Miscellaneous

Whilst every care is taken by Leopard’s Bend Bush Lodge to avoid any incident, Leopard’s Bend Bush Lodge bears no responsibility whatsoever for any damages, loss, injury, illness, death, delays, cancellations, or changes to an itinerary, and retains the right to alter, amend or cancel any part of a safari at Leopard’s Bend Bush Lodge with just reason.

Leopard’s Bend Bush Lodge shall not be held responsible for any force majeure events beyond the reasonable control of Leopard’s Bend Bush Lodge, including but without limitations, acts of God, exclusions, flood, fire or accident, war or threat of war, sabotage or civil disturbance, travel restrictions imposed by the government of South Africa or of that of the country of resident of the traveller, the occurrence of which may result in the cancellation of travel. Leopard’s Bend Bush Lodge shall not be deemed to be in breach or be otherwise liable for its non-performance to the extent that any such delay or non-performance is due to any force majeure. Leopard’s Bend Bush Lodge shall be entitled, at its sole and absolute discretion, to cancel or amend any reservation if it is so affected by a force majeure, and shall use reasonable endeavours to refund the travellers, subject to deducting the actual and potential costs incurred by Leopard’s Bend Bush Lodge.

The booking and all services carried out in terms of the reservation will be subject to South African law and the jurisdiction of South African courts.

20. Liability

The Guest is liable for extra costs incurred in respect of his/her reservation or stay and causing any damage to the premises, the furniture and all items related to the premises. Any such extra costs will be for the Guest’s account and be payable upon departure.

Any existing damage found by a Guest upon arrival must be reported to the manager of the Lodge on the day of arrival. Damage not so reported is the responsibility of the Guest.

The Guest is obliged to restore possession of their premises and the facilities in good order, condition, and repair, and to make every effort to minimize possible damage to person or property. The Guest shall be liable for additional cleaning costs if the premises are left in an excessively untidy and dirty / unhygienic condition.
